Managing and customizing the lead list

The lead list provides powerful filtering, searching, and customization options to help you manage leads efficiently. This guide explains how to filter leads, customize the table view, export data, and optimize performance.

Accessing the lead list

Navigate to any campaign to view its lead list. The list shows all leads in that campaign with columns for ID, Created date, Assigned person, Status, and any custom fields you've configured.


Basic filtering

Use the filter dropdowns at the top of the lead list to quickly filter by:

  • Created – Filter by creation date (see date options below)
  • Assigned to – Filter by assigned person
  • Status – Filter by lead status

Click More filters to access additional filter options.


Advanced filtering options

The advanced filters panel includes:

Lead properties

  • References – Filter by reference field value
  • Has value in – Show leads where specific fields contain data
  • Has no value in – Show leads where specific fields are empty
  • Follow-up – Filter by follow-up date

Calendar and events

  • Has event – Show leads with calendar events
  • Event type – Filter by event type (e.g., phone meeting, physical meeting)
  • In calendar – Filter by calendar
  • Booking form – Filter by booking form used
  • Booked by – Filter by person who created the booking
  • Optimal time – Filter by booking optimization status

Status and workflow

  • Has had status – Show leads that have ever had a specific status
  • Has not had status – Show leads that have never had a specific status
  • Status set – Filter by when status was last changed
  • HTTP sent – Filter leads where HTTP requests were sent
  • HTTP code – Filter by HTTP response code
  • Triggered by – Filter by automation trigger

Relations and connections

  • Has relations in – Filter by related campaigns
  • Has no relations in – Show leads without specific relations

Communication

  • E-mail sent – Filter by emails sent to lead
  • E-mail not sent – Filter by emails NOT sent
  • E-mail received – Filter by emails received from lead

Files and uploads

  • Has uploads – Show leads with file uploads
  • Has no uploads – Show leads without file uploads

Dates

  • Updated at – Filter by last update time
  • Deleted at – Filter deleted leads (or "Not deleted")

Unsubscription requirements

  • Subscription status – Has not unsubscribed, Has unsubscribed, or No requirement
  • Within past hours – Check subscription status within specific timeframe
  • Blacklist campaigns – Filter by blacklist campaign membership
  • Whitelist campaigns – Filter by whitelist campaign membership

About unsubscription

Unsubscribing a lead removes them from automations in the current campaign only. Use placeholders %lead_unsubscribe_url% or %lead_unsubscribe_link% to add unsubscribe links to emails. For cross-campaign unsubscription, consider using blacklist campaigns or consent declarations.


Date filter options

When filtering by dates (Created, Updated, Status set, etc.), you can choose:

Relative dates

  • Anytime – No date restriction
  • Today
  • Yesterday
  • The day before yesterday
  • This week / month / quarter / year
  • Last week / month / quarter / year
  • Previous week / month / quarter / year (before last)
  • Past 1-7 hours
  • Past 24 / 48 / 72 / 96 hours
  • Yesterday + today
  • Past 2 days + today

Custom date range

Select Custom and define a specific date range using the calendar picker.


Filter logic

All active filters use AND logic, meaning leads must match all selected criteria. For example, filtering by Status = "Ikke kontaktet" AND Created = "This week" shows only leads created this week with that status.


Saving filters

To save your current filter combination:

  1. Apply the filters you want to save
  2. Click More filters to expand the filter panel
  3. Scroll to the bottom and click the disk/save icon
  4. Confirm to save the filter for all users in the campaign

Saved filters persist across sessions. Without saving, filters reset when you leave the page.


Searching leads

Use the search field in the top right to search across lead data. Type field-specific queries like:

Navn = Nina
Email = @example.com
Telefon = 12345678

Search settings

Configure search behavior in Table options:

  • Include hidden statuses in search – If enabled, search results include leads with statuses hidden from the table
  • Ignore filters in search – If enabled, search looks through ALL leads regardless of active filters

Reload on changes

Enable the Reload on changes checkbox (top right) to automatically refresh the list when you update leads directly in the table. This applies saved filters immediately.

If you're bulk-editing many leads, disable this option to prevent constant refreshing.


Table options

Click Options (top right) to customize the lead table view. These settings apply to all users in the campaign.

Date format

Choose from multiple date formats:

  • yyyy-mm-dd (default)
  • dd/mm/yyyy
  • mm.dd.yyyy
  • ddmmyy (CPR format)
  • And 10+ other formats

Additional date options:

  • Hide year in dates when year equals current year – Simplifies dates for current-year leads
  • Show time created (hours and minutes) – Displays creation time alongside date

Default created from date

Set the default timeframe for the Created filter (Anytime, Today, This week, etc.). This applies when users first load the lead list.


Hidden columns

Select columns to hide from the table. Hiding unused columns improves performance, especially for campaigns with 1,000+ leads.

Available columns include:

  • Actions
  • Created at / Updated at
  • Comments
  • Book meeting
  • Calendar events
  • Person assigned
  • Status / Reason / Status set
  • Follow-up date
  • Viewed / Sent / Unsubscribed
  • Action buttons
  • All custom fields

Performance tip

It is recommended that you hide and exclude all columns you do not use to improve performance. For campaigns with 100,000+ leads, hiding unnecessary columns significantly reduces load times.


Always show unsubscription status

Enable this to display the unsubscription status in the lead table. When enabled, you can click to unsubscribe leads directly from the list.


Hide leads with these statuses from table

Select statuses to automatically hide from the lead list. For example, hiding "Har takket nej" (Declined) keeps your list focused on active opportunities.

Hidden leads can still be shown by explicitly choosing the status in the status filter above the table.


Calendar event details

Choose how calendar events display in the lead list:

  • Icon only – Shows only a calendar icon
  • Event date and time – Displays the event date and time
  • Event services – Shows the event type (e.g., physical meeting, phone call, Teams meeting)

Column widths

Customize the width (in pixels) of specific columns:

  • Status – Default 200px
  • Assigned to – Default 100px
  • References – Default 100px

Other columns adjust dynamically based on content.


Search settings

  • Include hidden statuses in search – If Yes, search includes leads with hidden statuses
  • Ignore filters in search – If Yes, search looks through all leads regardless of active filters

Other styling

  • Initial rows per page – Choose how many leads display per page (5, 10, 25, 50, 100)
  • Reset column order now – Reset column order to default

Click Save at the bottom to apply table options.


Reordering columns

Drag and drop column headers to reorder them. When you release a column, you'll see a confirmation dialog:

"Do you want to save the new column order for other users?"

Click OK to save the order for all campaign users, or Cancel to keep it personal.


Exporting to Excel

To export lead data:

  1. Apply any filters you want (optional)
  2. Click Excel button (top right)
  3. Select which columns to export
  4. Click Select All or Deselect All to quickly toggle
  5. Confirm export

The Excel file includes all visible leads matching your current filters. Available columns include:

  • ID, Created, Assigned person, Status
  • Calendar event details (start, end, title, resource, type)
  • References
  • All custom fields (company name, address, contact person, email, phone, etc.)

Bulk actions

Use the buttons at the bottom of the lead list for bulk operations:

  • Select all – Select all visible leads
  • Template – Apply an email/SMS template to selected leads
  • Import – Import leads from file
  • Bulk action – Perform bulk status changes, assignments, or deletions

Unsubscribing leads

To unsubscribe a lead from campaign automations:

  1. Click the lead's unsubscription icon in the table (if enabled in Table options)
  2. Confirm unsubscription in the dialog

Alternatively, add unsubscribe links to emails using placeholders:

  • %lead_unsubscribe_url% – Raw URL to unsubscribe page
  • %lead_unsubscribe_link% – Link with text "Unsubscribe"

Note about unsubscription scope

Unsubscribing only affects the current campaign. For cross-campaign unsubscription, use blacklist campaigns or consent declarations. For more information, see the related articles below.
