How do I control what users can see and do?
Hubhus uses a layered permission system - role, campaign access, feature permissions, calendar permissions, and user tags - that together determine exactly what each user can see and do. Permissions are not available per individual lead status.
TL;DR
Priority order: User-level permissions override → User tag permissions (Forbidden beats Allowed) → Default permissions. Campaign access controls visibility. Feature permissions control actions (including edit statuses as all-or-nothing). You cannot allow a user to change only to selected statuses. Set permissions under Account → Account & Organization → Users.
5 permission layers
Role
Administrator: full system access - can manage users, settings, all campaigns, integrations.
Standard user: restricted by default - must be granted campaign access and specific permissions explicitly.
Campaign access
Controls which campaigns the user can open. Without campaign access, the user sees a blank dashboard. Set under Account → Account & Organization → Users → Campaign access. Standard users have zero access until granted.
Feature permissions
Controls what the user can do inside campaigns they can see. Examples: view leads assigned to others, edit statuses (all statuses or none - not per status), delete leads/files, book meetings, access dashboards, manage automations, edit templates. Set under Account → Account & Organization → Users → Permissions. Set edit statuses to Forbidden if field users must not pick statuses in the UI.
Calendar permissions
Controls what the user can do in their calendar: edit available hours, edit special dates (days off, temp locations), view transits, see/edit resource calendars. Configured under Calendar → Settings → Permissions. Useful for technicians managing their own availability.
User tags (group permissions)
User tags allow you to define permissions at group level. Priority: user-level settings override tag settings; if a user has multiple tags and they conflict, Forbidden beats Allowed. Default permissions apply as fallback when nothing is configured at user or tag level.

Data visibility nuances
- Field-level visibility cannot be removed for users with campaign access - all campaign fields are visible by design
- Lead list visibility can be narrowed via saved views, Options → Hide these statuses (list filter only - does not lock which statuses a user may select on a lead), or campaign filters
- Calendar events can be limited to "Assigned events only" in calendar settings
- External calendar events (Outlook/Google) show as Busy - content is not readable by others
Statuses: no per-status permissions
Hubhus cannot grant access to individual statuses (e.g. allow technicians to set only "Completed", not "Invoiced"). Edit statuses is all-or-nothing.
- Set edit statuses = Forbidden for field users who must not change status in the UI
- Let them move the lead indirectly with an action button (or similar) that triggers an automation / status action to set the allowed status
- User tags do not unlock or hide individual statuses in the status picker
Campaign-specific permissions
Some campaigns have extra permissions: Excel export, questionnaire access, newsletter access, portal access, financial/ERP campaign access, internal-only campaign access. These are configured per campaign and override general feature permissions for that campaign's specific actions.
